Bookings and Reservations

 1. Basic / Deluxe Package:
Regular Bookings:

  • from 60 days to 1 day before arrival to Yellowknife
    this will require a 50% deposit at the time of booking
    first come, first served basis

  •   Final Payment: on the date of arrival in Yellowknife

  2. Rental Materials:

  • We do accept reservations for rental material.  Rentals will be processed on a first come, first served basis; sizes for clothing rental will be required at the time of Confirmation or Regular bookings; if clothing sizes are not submitted we cannot guarantee the availability of clothing upon arrival

  • loss or any damages to all rental materials will be charged to the guests.

  3. Optional Packages
Confirmation Bookings:

  • before 30 days from the time of arrival in Yellowknife

  • this will require a 50% deposit

Regular Bookings:

  • from 30 days to 1 day from the time of arrival in Yellowknife

  • this will require a 60% deposit - first come, first served basis

 Final Payment: on the date of arrival in Yellowknife

 

Aurora Village recommends our guests make a reservation to guarantee the availability of all packages

 Reservations may be made in person or via fax/e-mail to the Aurora Village office in Yellowknife

 

Payment Policy

  • Retail prices must be paid in full prior to commencement of service

  • Payment can be made by credit card (VISA or JCB) Canadian American Travelers Cheques, or Cash.

 

 

Cancellation Policy

 1. Acceptance of Cancellation:

  • We will only accept cancellation requests in written form or in person at our office in Yellowknife. If circumstances exist which prevent our guest from notifying us in writing (missing connecting flights or similar circumstances) we may accept cancellation by phone;

  • Date of cancellation will be determined by the time of receipt of a written cancellation request. Faxes must be received at Aurora Village offices during normal Aurora Village office hours (Daily from 8:00am-5:00pm Mountain Time). Requests received after normal business hours will be considered received on the next business day;

  • Refunds will be made to our guest and will be determined by payment received from the guest (see 2a. and 2b., below)(applicable taxes will be charged on refunds);

  • If, for any reason, Aurora Village must cancel our services to our guests, we will inform them via a written report.

3. Cancellation by a Guest:

  •  Under the following conditions our guest may cancel a tour and receive a refund according to our cancellation policy:

  •  if we change our service or schedules and if these changes are deemed unacceptable to our guest a 100% refund will be offered to our guest;

  •  weather, war, coup, orders of the Government or other existing conditions beyond the control of our guest, in which our guest will not be able to receive our services in a safe manner;

  •  missed flights, illness or other conditions that may be beyond the control of the guest, which causes our guest to be unable to receive our services.

 

 4. Cancellation by Aurora Village:

 Under the following conditions Aurora Village may cancel a tour:

  • due to conditions which arise, for which Aurora Village would normally be responsible for, which render Aurora Village incapable of offering our services to our guests. A 100% refund will be offered to our guest under these circumstances;

  • due to conditions beyond the control of Aurora Village (weather, war, coup, order of the Government or other existing conditions) which will render Aurora Village incapable of offering our services to our guests in a safe manner. Refunds will be made according to our cancellation policy. (This does not include "no-views" of the Aurora Borealis due to weather or any other conditions)

  • due to condition/conduct of a guest. We reserve the right to refuse service to a guest in the following conditions (no refund will apply):

a.  guest(s) provides us with false information (sex, age or any other information requested by us);

b.  illness or other existing conditions (drunkenness, refusal to wear advised proper clothing, etc.) of guest(s), which will render us incapable of providing our services in a safe manner;

c.  conduct of guest(s), which will cause danger or destruction to other guests or themselves.

 

Other Considerations

The following services may be provided at extra charge to the guest(s) (applicable taxes will apply)

  • requested personal tours or other transportation and guide services, which are not included in our packages;

  • any medical expenses due to injury or illness of our guest(s);

  • any other assistance required by the guest beyond our capabilities.
